Unified Terms and Conditions

For Students, Faculty, and Champions

Welcome to the Circle of Champions Network. These Terms and Conditions apply to all participants in the Circle of Champions program, including Students, Faculty, and Champions. By participating in the program, you acknowledge that you have read, understood, and agreed to the following terms.

1. Program Purpose

The Circle of Champions Network is designed to support student success through collaboration among students, faculty, mentors, family members, and community supporters known as "Champions." The program may include educational activities, communication tools, mentorship opportunities, and participation in noncredit educational courses offered through partner institutions.

2. Privacy and FERPA Compliance

The Circle of Champions Network and its partners are committed to protecting participant privacy and complying with the Family Educational Rights and Privacy Act (FERPA).

Educational records and personal information will not be shared outside the Network unless:

  • the participant provides consent;
  • disclosure is permitted by law; or
  • disclosure is necessary to support the educational mission of the program.

Partner colleges may share limited information with approved vendors and educational partners acting as "School Officials" under FERPA regulations solely for purposes related to administration and operation of the program.

Participants understand that:

  • educational information shared within the Network is intended only for authorized program purposes;
  • all users are expected to maintain confidentiality regarding student information; and
  • faculty members remain responsible for complying with all FERPA obligations and institutional privacy policies.

3. Student Participation

Students participating in the Circle of Champions Network are encouraged to identify and invite at least three Champions to join their Circle. Champions may include family members, mentors, educators, employers, coaches, or other trusted supporters.

Students may choose what educational information is shared with their Champions and may update or remove shared information at any time, subject to applicable educational record requirements.

Students may:

  • request access to their information;
  • request corrections to inaccurate information; and
  • discontinue participation in the Network at any time.

4. Faculty Participation

Faculty participating in the Circle of Champions Network agree to:

  • encourage students to nominate Champions;
  • follow up with Champion nominees when appropriate;
  • support students in actively using the program; and
  • maintain regular and substantive interaction consistent with applicable course requirements and student learning outcomes.

Faculty understand that participation in the program may be:

  • required as part of a course;
  • offered for extra credit; or
  • optional, at the discretion of the faculty member and institution.

Faculty agree to follow:

  • all institutional rules and policies;
  • applicable course outline requirements;
  • FERPA regulations;
  • designated learning management system requirements; and
  • any agreements established with JourneyGPS or participating colleges.

5. Champion Participation

By registering as a Champion, participants acknowledge that they have reviewed the program guidelines and agree to support students in a positive, respectful, and responsible manner.

Champions understand that:

  • they may be enrolled in a no-cost, noncredit course offered through participating community colleges, including Santa Ana College School of Continuing Education or Gavilan College;
  • Canvas or another designated learning management system may be used for course participation;
  • regular participation may be required to remain active in associated educational coursework; and
  • removal from a course does not necessarily remove participation from the Circle of Champions platform.

Champions agree to provide accurate registration information and comply with all applicable student conduct and continuing education policies of participating colleges.

Participants who do not already possess a California Community Colleges student identification number (CCCID) understand that one may be created for enrollment purposes.

6. Learning Management Systems and Educational Technology

Participants understand that the program may use educational technologies and learning management systems, including Canvas, to support communication, coursework, student engagement, and documentation of participation.

Participants agree to use these systems responsibly and in accordance with institutional policies and applicable law.

7. Mental Health and Emergency Situations

The Circle of Champions Network is not a crisis response service, counseling center, or emergency provider.

If a participant communicates information suggesting:

  • possible self-harm;
  • harm to others; or
  • a mental health emergency,

program representatives may attempt to contact appropriate support services or emergency contacts when reasonably necessary.

Participants experiencing an emergency should immediately contact:

  • 911;
  • local emergency services; or
  • their institution's counseling or crisis support services.

8. Cookies, Analytics, and Website Usage

The Circle of Champions Network may use cookies, analytics tools, and similar technologies to:

  • improve website functionality;
  • understand user engagement;
  • enhance participant experience; and
  • improve educational services and tools.

Participants may manage cookie preferences through their browser settings.

Information used for research, analytics, or program improvement will remain protected and used only for legitimate educational or operational purposes.

9. Account Termination and Withdrawal

Participants may discontinue participation in the Network or request account deletion at any time by contacting program support.

The program reserves the right to suspend or terminate participation for:

  • violations of institutional policies;
  • misuse of the platform;
  • harassment or misconduct;
  • violations of privacy obligations; or
  • conduct inconsistent with the educational mission of the program.

10. Certification of Accuracy

All participants certify that the information they provide during registration or participation is true and accurate to the best of their knowledge.

11. Limitation of Liability

Participants understand that the Circle of Champions program, JourneyGPS, participating colleges, and affiliated partners strive to provide a meaningful and safe educational experience.

To the fullest extent permitted by law:

  • the program and its partners are not responsible for indirect, incidental, special, or consequential damages arising from participation in the program; and
  • any recovery related to claims arising from participation shall not exceed the amount paid by the participant for participation in the program, if any.

12. Dispute Resolution

Participants agree to first attempt to resolve disputes informally with program representatives.

If a dispute cannot be resolved informally, participants agree that unresolved claims shall be resolved through binding arbitration in Riverside County, California, in accordance with the rules of the American Arbitration Association (AAA).

Participants waive the right to participate in class-action or collective legal proceedings related to the program.

13. Changes to Terms and Conditions

The Circle of Champions Network may update these Terms and Conditions periodically to reflect changes in:

  • laws or regulations;
  • institutional requirements;
  • technology systems; or
  • program operations.

The most current version of the Terms and Conditions will be posted at: www.mycircleofchampions.com

Continued participation in the program after updates constitutes acceptance of the revised Terms and Conditions.

By participating in the Circle of Champions Network, all Students, Faculty, and Champions acknowledge and agree to these Terms and Conditions.
